Marketers personalize e-mails because 91% get better open and click rates when they do, and that means going beyond using a first name to targeted, personalized content based on demographics, purchase and browsing history, subscriber interests, etc. Achieving that quality targeted personalization requires good list segmentation; blasting a one-size-fits-all message to the whole e-mail list is a recipe for low response. Segmenting by age, gender, preferences, purchase history and more delivers 14.31% higher opens and 100.95% higher clicks than non-segmented list campaigns, notes the EmailMonks infographic. Executing that personal touch also means permission-based e-mail that respects recipient preferences for how often and when they are contacted, so give subscribers the chance to manage the number and timing of e-mails. But what about before they  subscribe? Data shows that the average B2B recipient is most likely to open a 10 a.m. Saturday e-mail, to click on a 10 a.m. Tuesday e-mail, and to respond to an 8 a.m. Tuesday e-mail. Entrepreneurs and workaholics open, click and respond best to those Saturday morning e-mails!

Winning Subject Lines & CTAs

As the infographic points out, 35% of e-mails are opened based on the subject line alone. What makes up a winning subject line? Brevity is the soul of subject line wit; with 54% of e-mails opened on a mobile device, a subject line of around three words scores higher since most mobile devices can show only four to seven words across the screen. Personalization counts big, too; personalized subject lines are 26% more likely to be opened than general ones. And finally, the content counts; it’s less about click-bait attention grabbing than about a topic that matters to the recipient. Once the e-mail is opened, the crafting of a good call-to-action (CTA) will drive more click-throughs. The CTA should be noticeable and  “above-the fold”; in fact most brands prefer to place a CTA in the top third of an e-mail, and 48% match the CTA colors to their brand logos. Oh, and make sure the CTA links to an effective, mobile-optmized landing page, too.

Careful Design Wins Postage Discounts

USPS offers postage discounts to mail pieces that are not only addressed correctly but also designed for processing on automated equipment. For mail to qualify for the lowest postage rates, the mail piece needs to be at a letter size, which is a minimum of 3 ½” high by 5″ long and a maximum of 6″ high by 10½” long. Larger mail pieces fall into the flat category, which can cost more than twice as much per piece as a letter. Plus, to take advantage of automation, the piece must by rectangular, with an aspect ratio (length divided by height) of 1.3 to 2.5. Mail pieces outside those ratios could cost twice as much in postage. Then the addressing and barcode block on letter size mail must fit into the USPS OCR read area to avoid additional postage. For tri-folded self-mailers, the address must be on the center panel to qualify for discounted automation postage. Naturally, weight matters.  Keep the weight of a folded self-mailer under 1 ounce; if the piece weighs over 3 ounces, it must go in an envelope. Thickness counts, too  If a mail piece is less than 0.009″ thick, it costs more in postage. On the other hand, the  maximum thickness for letter size mail is ¼” and for flat size is ¾”. Beyond avoiding words and symbols likely to trigger spam filters, A/B testing is usually the best way to find which subject line leads to higher open and click rates, as the article advises. While focusing on a first impression, too many e-mail marketers forget the importance of a closing impression. For example, after gaining response and conversion, marketers can use transactional e-mails (e-mails acknowledging a purchase, donation, sign-up, etc.) to expand customer/donor value by offering a reward (discount on next purchase as an example), a loyalty program, a newsletter, social links and more.

Design With Mobile in Mind

When it comes to design, the key to success today is the ability to translate across desktop, tablet and mobile devices. Remember, research shows that more than two-thirds of consumers access e-mail through their smartphones! Other common general guidelines include formatting within standard dimensions and fonts, creating a layout with quick-scan logic and clear call to action, optimally sized images with alt text in case of blocking, and personalized or even dynamic content.

Identify & Understand the Best Audience

Basically, performing arts marketers must acquire prospects with the potential to become long-term, high-value patrons; retain them; and maximize their dollar contributions. That challenge is not easy when studies show 72% of single-ticket buyers do not return, points out npENGAGE article author Chuck Turner, a senior analytics specialist at the Target Analytics agency for arts and cultural clients.  So a cost-effective marketing strategy will rely on data analytics both to target those with the highest relationship potential and to personalize messaging and offers for boosted ROI and loyalty.

For both groups, Turner suggests selecting those with higher average income, and thus higher capacity to spend. According to the Bureau of Labor Statistics, the average high-income person spends over $8,200 on entertainment each year, so if average program revenue per attendee is $34.33 (the average performing arts program revenue per attendee in 2013), there’s room to grab a bigger share! When it comes to increasing donations, external list data on both discretionary spending ability and nonprofit donation history can be used to target significant nonprofit donor prospects for acquisition, and that data can be appended to the existing audience database to better target for add-ons and upgrades. Turner points to Target Analytics findings that, on average, up to 40% of nonprofit audiences can be top prospects for significant contributory giving–if you communicate to prospects with a message that resonates with their mission-based interest.

Segment to Maximize Lifetime Value

With limited resources, performing arts marketers need to be more strategic and proactive in focusing on the most valuable segments. This means tracking lifetime value, defined as the net profit attributed to the entire future relationship discounted to its current value. Again, quality data can help target the right people–those with high lifetime value–with the right message. For both audience database and prospecting mailing lists, Turner stresses selecting targets based on charitable giving and income/discretionary spending ability. Start With Clean, Up-to-Date Data

With an estimated 30% of e-mail subscribers changing their addresses each year, make sure all e-mail lists are up-to-date, with addresses validated and verified, including any e-mail addresses that have been matched and appended to a postal list. Good list hygiene should include removing duplicates; correcting formatting errors; identifying addresses known to be associated with spam traps; and eliminating hard bounces, invalid e-mails/domains, and e-mails associated with complaints.

Profile, Segment and Personalize

Website signups can be sent a personalized welcome message, while subscribers who have not taken further action can get a follow-up nurturing message about products and services, with a call-to-action promoting a free quote or agent call. When a prospect makes a quote request, e-mail messaging can focus on getting to a policy sale, with more policy information and a specific offer or promotion. Note that life cycle counts as much as buying cycle. Segment to Maximize Response, Order Value

From decades as data brokers and e-mail support providers, we can attest that targeting and smart segmentation are essential to holiday e-mail success. Of course, the house list can single out the active buyers and segment by basics such as location (no ice to Eskimos) and gender. But more sophisticated segmentation looks at purchase history in terms of product interest, in-store vs. web store, abandoned carts, purchase frequency, etc. For example, to maximize customer value, you can segment by average purchase (separating high-priced buyers from discount buyers) and send targeted e-mails with offers slightly over average order value. You can also reward and stimulate more sales from the most loyal buyers, segmented by purchase frequency or referrals etc., by e-mailing them unique holiday specials and freebies. The holiday season is also a great time to revive inactive customers, such as the previous year’s holiday buyers who haven’t been active since. Send them special offers to woo them back to the brand. Prior-holiday gift card buyers are a good sub-segment for a reminder e-mail about this convenient option. You can also target the most recent opt-ins who haven’t converted to buyers with offers and creative most likely inspire clicks. And don’t neglect to match your e-mail list to Facebook, YouTube or third-party newsletters to extend your reach via those vehicles! Although rented e-mail lists will not have the same intimate customer knowledge, you can still select by location, gender, age, product interest, and more.

Fundraising Mail Benefits From Data-Rich List Segmentation

Limited Data Limits Response

Some fundraisers question the need for a more sophisticated data approach, of course. So we’ll pass along a recent NonProfitPRO blog post by Chris Pritcher, of Merkle’s Quantitative Marketing Group, which challenges overly narrow views of donor data. Too often, using data to understand the donor base is limited to one of two categories, Pritcher notes: 1) RFM (recency, frequency, monetary) data and giving history, or 2) donor demographics and behavioral measures, ranging from factors such as wealth or related interests/purchases to applying behavior-lifestyle systems such as Prizm. Whether the data is first-party or third-party sourced, each approach has its limitations. RFM often silos data from a single channel, for example, even though donors live in a multi-channel world. RFM also focuses mainly on short-term financial action, ignoring donors, especially Millennials, whose giving is maximized through an interactive, long-term relationship. Meanwhile, though donor demographics can help avoid low-opportunity lists and segments, demographics in isolation may be too general for effective response targeting. Wealth data indicates who has money but not who is willing to give that money to a specific cause, as Pritcher points out.

Multi-dimensional View Enriches Segmentation

Pritcher urges fundraisers to step up their donor targeting and embrace “multi-dimensional segmentation” over the either/or data approach described above. Instead, nonprofits can analyze donor actions (both financial and non-financial) along with data such as demographics, wealth, donations to other organizations, etc., to create more actionable segments. Here are some of his basic tips for success: 1) avoid a myopic view by using financial and non-financial information across channels; 2) control scale by limiting segments and focusing on actionable over descriptive data; 3) include a plan for migrating donors into the most engaged segments; 4) focus strategy and budget on top donor segments, and use segmentation to acquire prospects likely to grow into similarly engaged donors; 5) target messaging by segment to further boost response, affinity and loyalty.

Push Your Event Marketing E-mails Ahead of the Pack

During close to 30 years of direct marketing to help trade shows and conferences boost attendance and sell exhibitor space, clients often have asked for guidance on event industry response for e-mail campaigns. Now we can enhance data pulled from our proprietary research and experience with Eventbrite’s new “2017 Event E-mail Benchmarking Report,” comparing survey responses from over 340 event organizers across the U.S. and U.K. for a range of event types and sizes.

Benchmarks to Emulate

If you’re an event marketer with a fuzzy notion of the basic response measure of click-to-open rate (CTOR), you’re not alone. The benchmark report found that 39% of respondents said they didn’t know their average CTOR. That’s an ignorance that these event pros need to remedy if they hope to catch up with even average e-mail results. The rest of the U.S. event organizers surveyed reported an average CTOR of 12%. That was higher than their U.K. brethren, who only cited a 9% average, but far behind the enviable 17% in the U.S. who reported a CTOR of 21% or higher! Festivals scored the best average e-mail CTOR (14%), while classes and workshops had the lowest (9%).

Copy & Design to Boost Click-to-Open Rates

Event marketers who want to improve CTOR can commit to a number of basic creative tactics. First, they can revisit layouts and make sure they direct recipients to a compelling and clear call-to-action. Then, copy should be relevant, personalized and spam-filter avoidant, running from a great subject line that entices opens to copy that wins clicks. Obviously, mobile-optimization is a must now that the majority of e-mails are opened on mobile devices. Note that the most effective e-mails today also include an engaging image. E-mail research has found that e-mail campaigns with imagery have a 42% higher CTOR than campaigns without images, for example. (Don’t forget to comply with CAN-SPAM opt-out and privacy regulations, of course.)

Target, Test, Automate, Integrate

As data brokers, we must remind that response is even more dependent on the quality of targeted opt-in e-mail data, whether house or rental lists, and use of professional software and database support for list segmentation, updating and permission management as well as results tracking, testing and analysis. Indeed, regardless of carefully crafted e-mail creative, results measurement and analytics are essential to a direct marketing basic: testing of creative, lists and targeting to find what works best. Data & Content Are Keys to Profitable Audience Building

After long experience supporting publishers and media owners in circulation/audience growth, AccuList USA can affirm that, in the age of big data and exploding digital content, targeted data quality and database management are more essential than ever to profitable audience development.

A recent Marketo blog post backs up that assertion with their advice. Demographics and firmographics are a key starting point, but now media owners also can mine transactional data, behavioral data, and psychographics/interests across channels, the post notes. Smart use of first-, second- and third-party data allows for tailored content, offers and channel targeting. As the Marketo article explains, “For example, you may know that a reader is a part of a cohort that is female, between 18-35 years old, with a household income between $64-96K….But what could you do–in terms of engagement–if you learn through her content consumption patterns that she’s interested in football, responds to sponsored content from travel brands, and mostly responds to content that’s shared on Facebook?”

And Data Management

Yet more data from multiple sources–web, print, mail, e-mail, social media–also presents challenges, and Marketo cites Folio’s recent survey of publishing leaders, which found 71% citing data management as a top priority for creating and monetizing media products. The solution is a single hub for audience data and automated cross-channel processing in real-time, the post advises. With a complete data profile of the audience, the focus can turn to delivering the right message at the right time to the right target. And we would add that an effective database will require strategies and support for data hygiene, database appending, analytics, and segmentation as well as automated triggering of messages across channels. Automation doesn’t apply only to digital messaging, by the way; marketers can capitalize on direct mail’s top response and brand engagement with automated mail triggering based on digital activity.

Commitment to Content

In publication/media marketing even more than other brand marketing, content counts. Faced with ever-growing digital content noise, media owners must work even harder to deliver content that interests and engages the target audience. To that end, a helpful Content Marketing Institute article by Neil Patel recently listed four common mistakes. No. 1 is offering content of more interest to the brand/publisher (and its advertisers/partners) than to the audience. Only audience-centric content builds audience. No. 2 is to focus only on selling in marketing messages, especially if poorly targeted. The long-term value of authenticity and relationship building suffers when the sales pitch is obvious and not personalized. No. 3 is an SEO addiction to the point of stuffing keyword phrases and irrelevant links into content, which can turn off and confuse readers and even earn search engine penalties. And No. 4 is an obsession with content quantity over quality. Simply delivering more content more often than competitors, especially if it is unwanted, sloppy and self-serving, is likely to turn off audiences. Cautionary Tales: Marketing Pros Share E-mail Mistakes and Fixes

To err is human, even for the best direct marketers. So it is instructive to learn from marketing pros when they admit mistakes and then share corrections and prevention advice. A recent Direct Marketing News magazine article asked 13 experienced marketers to share their biggest goofs, how they fixed them and lessons learned. Data Blindness: Missing Segment Crossover Creates Confusing E-mail Flood

Guillaume Cabane, vice president of growth at Internet software firm Segment, relates how he failed to take segment crossover and duplication into account. He ended up e-mailing the same user five times in a week because the user appeared in multiple different data sets of people. The subscriber was not only irritated by the flood of e-mail but also confused by “similar but different” messages. The solution? Cabane notes that using data services to exclude recipients who have recently received other communications is one way to avoid the problem.

Honesty’s the Best Policy: Making Lemonade From Subject Line Lemons

The team at Return Path, a leading e-mail data solutions provider, cites several lessons from a failure to update an e-mailed webinar promotion post-testing so that the subject line “TEST” went to the entire subscriber list. The team needed to come up with an immediate fix. They decided to send a follow-up e-mail with the subject line “Oops,” and it performed so well they ended up doubling registrations. Besides learning the importance of double-checking subject line and content, the experience also showed that an unexpected subject line can sometimes intrigue and prompt more opens, and that subscribers appreciate honesty about errors (although it’s better to avoid them).

E-mail Etiquette: Avoiding Confusing, Frustrating Shortcuts

Melody Gambino, director of marketing at Grapeshot, which improves online ad targeting via advanced keyword technology, reminds that, in crafting e-mail content, the basics of e-mail etiquette count. Using acronyms, slang, abbreviated names/personalization, and shortcut instructions or explanations can cause confusion and frustration. Gambino is especially focused on the problem further down the B2B sales funnel, when customers or prospects may get a speedy but inadequate response from a company rep instead of the clear, thorough answer they seek. She advises a conscientious effort at being thorough in e-mail questions and instructions and limiting e-mail responses from mobile devices, where the shortcut temptation is greater.
